How to build a software subscription inventory that stays accurate
An inventory is useful when the next person can understand and update it.
Use a small, consistent set of fields
Capture tool, supplier, owner, department, billing cadence, price, capacity and renewal date. Keep currencies explicit. Add the agreement or reference needed to verify each commercial detail.
Assign the update responsibility
Name a person who can verify the service. Review the record when seats change, a price changes or a team member leaves. Avoid relying on a shared inbox as the only source of ownership.
Mark information that still needs checking
If usage or cancellation terms are unknown, say so. A visible gap gives the team a useful next action; a guessed value can produce a misleading savings estimate.
